The five-minute rule: reply speed decides the booking

Because a patient enquiring about a procedure has messaged two or three clinics in the same minute, and the first real answer usually wins the appointment. Instant automated acknowledgement, a human within the hour, and a script that offers two specific times will move your booking rate more than any campaign.

Measure yours before you defend it

Ask a friend to message your clinic at three different times — mid-morning, at 2pm, and at 9pm — with an ordinary question about a procedure and a price. Write down how long each reply took and what it said. Most clinic owners are surprised by at least one of the three.

Then look at the content of the replies, not just the timing. "Please call the clinic" and "we will check and get back to you" are technically fast replies that lose the patient just as effectively as silence.

Automate the first sixty seconds

The first message should go out instantly, day or night, and it should contain three things: confirmation that this is the right place for their question, the price band or the next step, and two specific appointment times. Not "thank you for contacting us" — that reassures nobody and buys no time.

Then a human takes over within the hour during working times. The automated message is not a substitute for a person; it is what holds the patient's attention until the person arrives.

One script, everyone uses it

Write the three most common exchanges — price, clinical question, appointment change — in Arabic and English, save them as quick replies, and require everyone with inbox access to use them. Not because staff cannot write, but because consistency is what makes response quality independent of who happens to be on shift.

Review the inbox once a week for fifteen minutes. You are looking for two things: messages that went unanswered, and answers that closed a conversation instead of opening one.
