How K-Link Consulting replaced hundreds of phone calls with WhatsApp broadcasts

K-Link Consulting runs a labour registration centre in Bahrain under the LMRA and used to phone workers one by one about payments, renewals and notices. A registration centre with a calling problem

K-Link Consulting is a Bahrain firm with two sides: a management consultancy, and a semi-government labour registration centre that works under the Labour Market Regulatory Authority (LMRA). The centre handles the Flexi Permit programme, which lets workers sponsor themselves without a separate sponsor.

Its customers are workers from Bangladesh, India, Pakistan, Kenya, the Philippines, Morocco and elsewhere, and the centre has to reach hundreds of them regularly about payment deadlines, card renewals, permit updates and notices from the LMRA.

Why phone calls stopped working

Before Gallabox there was no WhatsApp platform or broadcast tool at all. Staff called every worker individually, which ate hours of each day. Reminders arrived late or not at all, so walk-ins stayed low and deadlines from the LMRA were missed.

Language made it harder. A notice has to reach each worker in a language he reads comfortably, and doing that by phone, one call at a time, across four languages, was close to impossible at this volume.

What K-Link set up on Gallabox

The centre now sends one broadcast where it used to make hundreds of calls. The same template exists in Bengali, Hindi, Urdu and English, so each worker gets the notice in the simplest form of a language he understands. Payment reminders, card renewal notices and LMRA updates go out in one click.

Replies land in a shared inbox that several agents across departments work from, and every team member has the Gallabox mobile app on their phone, so answers go out in real time from wherever staff happen to be. The team says it picked Gallabox for convenience: everyone could use it from the first day, with no steep learning curve.

What changed, and what hasn't happened yet

Gallabox reports 500+ walk-ins per broadcast, because workers now get reminders on time instead of missing a call. Manual calling stopped, reaching four language groups became a matter of choosing the right template, and customer questions get answered from whichever phone is free.

Next, according to the story, K-Link is exploring an AI chatbot to answer replies in several languages, and automated sequences so monthly reminders don't have to be triggered by hand. Neither was running when the story was written, which is also why this summary leaves out a chatbot figure the page lists among its goals, along with the centre's own rating of Gallabox.
