A growing home-services firm with leads arriving everywhere

Villacare Plus is a premium villa maintenance and home services company working across the UAE. Its customers already preferred WhatsApp, so the team decided early to build the whole customer journey around it rather than bolt WhatsApp on later.

Unlike most companies in Gallabox's stories, Villacare Plus didn't migrate from another tool: Gallabox was its first WhatsApp Business API platform. Before that, enquiries were handled with no central automation at all, and the gaps were the ones a growing field-service business tends to hit.

Leads came in through Meta ads, a WhatsApp widget on the website and QR codes printed on company vehicles, with nothing capturing them in one place. Every enquiry needed someone to collect details and work out what the customer wanted. Customer records went into Zoho CRM by hand, and nothing linked a finished job to its invoice in Zoho Books. Messages sent after hours waited for the next working day, and technicians were dispatched through ad-hoc messages with no structured handover.

Record: customer data syncs to Zoho CRM automatically, with duplicate detection so a returning customer doesn't turn into a second record.

Hand over, dispatch and bill: agents in the shared team inbox review what the bot collected, confirm the job and schedule it, and technicians receive a complete brief for each visit. When the work is finished, an invoice or estimate is generated through Zoho Books. The team also singled out the Gallabox implementation specialist who guided them through the integrations, staff training and troubleshooting.

What changed

Gallabox's page reports 55% growth in lead generation and a 50% increase in employee productivity, both stated in its summary cards and again in its results. It attributes the lead growth to the ads, the widget and the QR codes all feeding one automated capture and qualification system, and the productivity gain to automation taking over data entry and lead routing.
