Does a small Kuwait business need the WhatsApp API, or is the free app enough?

If you answer your own WhatsApp and it keeps up, the free WhatsApp Business app is enough. Move to the API when more than one person needs to answer the same number, or when confirmations, reminders and order updates should send themselves. Gallabox's Basic plan costs $112 a month billed yearly for up to 3 users; Essential is $248 with 6.

When the free app is enough

The WhatsApp Business app is free and does more than most owners use: a business profile, a catalogue, greeting and away messages, quick replies and labels. For a salon, a home kitchen or a small shop where the owner answers every chat, it's the right tool, and paying for a platform won't make those chats any better.

The app starts to hurt in predictable ways. The phone becomes the only place the business exists, so when the owner is busy, travelling or asleep, chats wait. Staff end up answering from the owner's phone, or from WhatsApp Web on a shared laptop, and nobody knows who told a customer what. Every reminder, confirmation and 'your order is ready' is typed by hand.

If none of that sounds familiar, stay on the app. We'd rather say so now than sell you a plan you cancel in three months.

The signs it's time for the API

Three signs mean the API is worth paying for. More than one person needs to answer the number, each with their own login and without passing a phone around. Messages that should send themselves, like booking confirmations, reminders, delivery updates and payment links, are eating an hour of someone's day. Or you run Instagram or Click-to-WhatsApp ads and can't tell which chats came from them.

The API is Meta's official route for all of that. Your number sits in your own Meta business portfolio, a platform like Gallabox gives the team a shared inbox and a bot builder, and messages that start a conversation go out as approved templates. It isn't a bulk-sending tool: you message people who contacted you or agreed to hear from you.

It also brings costs the app doesn't have. Meta charges for each delivered template message, and from 1 October 2026 service replies are charged after 1,000 free a month per number. Whether a small business stays inside that free tier depends on its volume, so count last month's replies before assuming.

Basic or Essential

Gallabox's Basic plan costs $112 a month billed yearly, or $150 a month billed quarterly. It includes 3 users, and that's a hard cap: a fourth person means upgrading. You get the shared inbox for WhatsApp, Instagram and web chat, up to 5 active bot flows, broadcasts to 10K contacts a month, the catalogue and payments, basic forms, and an AI agent for your website.

Essential costs $248 a month billed yearly, or $331 quarterly, with 6 users and $18 a month for each extra one. It adds what growing teams miss most on Basic: business hours, round-robin assignment within teams, drip sequences, AI agents on WhatsApp, WhatsApp calling, CRM connections such as HubSpot, and Conversions API attribution for ads.

Our rule of thumb: an owner plus one or two staff who mainly need a shared inbox and a booking or order bot are fine on Basic. If you need after-hours rules, follow-up sequences or more than three people, start on Essential rather than upgrading in month two. Yearly billing saves 25% against quarterly, but if you're unsure, start with a quarter; quarterly plans can be cancelled at the end of the cycle. Meta's message fees are billed on top of either plan.

Keep using the app on the same number

Many owners worry that moving to the API means giving up the app they know. With WhatsApp Coexistence, which Gallabox support switches on, the same number can work in the WhatsApp Business app and in Gallabox at once. The owner keeps replying from the phone, and staff work from the shared inbox.

It's the gentlest way to start: nothing changes for customers, the number and the habits stay, and automations are added one at a time. We check that your number is eligible before we plan around it, and we do the Meta side properly: business verification, the display name and a payment method.

Meta accepts business documents in Arabic, so a Kuwaiti licence doesn't need an English translation to be submitted. The display name must match your legal name or brand, without words like 'official'.

A realistic first month

Week one is paperwork and setup: the Meta business portfolio, verification, the number, and the inbox with your team's logins. Week two is the first bot, usually the handful of questions you answer most, written in Arabic and English. Week three is the first templates: a booking confirmation, a reminder, an order update. Week four is a small first campaign to people who opted in, to learn how your customers respond.

Some things take longer than you'd like. Meta reviews templates and the business, and a rejected template has to be reworded. Your messaging limit starts at 250 people in any 24 hours outside open chats, until the business is verified or you build up a sending history. None of this is unusual, and nobody can rush Meta's reviews, us included.

By the end of the month you should know whether the bot answers what it should, how many service replies you send, and whether the time saved is worth the plan.

Instagram is often the shop window

Many small Kuwait businesses sell from Instagram. Basic already puts Instagram DMs in the same inbox as WhatsApp, so one person can cover both.

KNET means a payment link

WhatsApp's in-chat payments aren't available in Kuwait. You send a payment link from your own gateway in the chat, and the customer pays there.

Friday, Saturday and Ramadan hours

Automatic business-hours replies need Essential. On Basic, the bot's first message can simply tell people when you're open.

October 2026 applies to small businesses too

From 1 October 2026 Kuwait's rates rise and service replies are charged after the free tier. Add a payment method to the Meta account before that date.

Is there a free plan?
Not on Gallabox. There's a 7-day trial with no card and 500 AI credits, then a paid plan. The free option for a small business is the WhatsApp Business app.
Can I keep using WhatsApp on my phone?
Usually, yes. With Coexistence, switched on by Gallabox support, the same number works in the Business app and in Gallabox. We confirm your number is eligible before setting it up.
Does Aahfil charge for setting it up?
No. Setup is free: we connect your number, prepare and submit business verification, where Meta makes the decision, and write your first templates. You pay the Gallabox plan at Gallabox's price and Meta's message fees, nothing else.
What if I hire a fourth person on Basic?

Can customers pay by KNET inside the chat?
Not inside WhatsApp itself; in-chat payments aren't available in the GCC. You send a payment link from your gateway, and a webhook from the gateway can confirm the payment in the chat, which is a custom build.
