Protect4less kept claims moving after the office closed

Protect4less, a Dubai subscription service covering phones, laptops and TVs, used to stop answering at 6 PM, and some customers quietly cancelled. On Gallabox a chatbot answers every message on arrival, a WhatsApp Flow collects claim details before an agent joins, and a shared inbox shows the team every case. Gallabox reports 50% higher customer satisfaction.

A subscription business with a 6 PM cut-off

Protect4less sells subscription plans that cover phones, tablets, laptops, televisions and household appliances against accidental damage, breakdowns and theft. It sells through partners in telecoms, electronics retail and insurance, and Gallabox's page puts its footprint at 32 countries. The whole offer depends on one thing: a customer being able to start a claim quickly when something breaks.

Before Gallabox, that often wasn't possible. Calls after 6 PM went to voicemail, evening emails waited for the next working day, and weekend questions sat until Monday. Many of those customers didn't complain. They simply cancelled or didn't renew, and because the loss was quiet, it was easy to miss.

Office hours had their own waste. Every claim started with the same questions — which device, what happened, when was it bought — so agents spent the first minutes of each conversation collecting details. Conversations sat in individual queues, and nobody had a clear view of who was handling what.

What Protect4less set up on Gallabox

The brief had three parts: answer first contact at any hour, gather structured details before a person joins, and let the whole team see every open case. Protect4less matched one Gallabox tool to each.

A chatbot now replies the moment a message arrives. Someone with a cracked screen at 9 PM gets the steps to start a claim and an idea of what happens next, and routine questions about coverage, eligibility, service centres and plan prices are answered without ever reaching the queue.

A WhatsApp Flow, a short form inside the chat, asks for the device type, the purchase date, the problem and the preferred service option. The agent who picks up the case starts with those answers already on screen.

Everything lands in the shared team inbox, where agents can see who owns each case, where it stands and what has been said, so a handover never makes the customer tell the story twice. The page adds that the setup is connected to the company's existing systems, without naming them.

What changed

Gallabox's page reports a 50% increase in customer satisfaction, a 50% improvement in team productivity and a 30% overall business growth impact. The story explains those results through workload and retention rather than further numbers. Bots and forms take the repetitive first steps, agents spend their time on complex claims and escalations, and a customer who writes on a Saturday finds the claim already logged when the team is back on Monday.

For a subscription business, the page argues, fewer support-driven cancellations add up over time. It also says the support operation now grows with the company's markets without headcount having to rise at the same pace.

What a Kuwait business can take from this

Service businesses in Kuwait lose customers over the Friday–Saturday weekend in exactly this way: the message arrives and nobody answers. A bot that handles the first step and a form that records the details keep the case moving until the team is back, as long as the bot says honestly when a person will reply; business-hours rules are on Gallabox's Essential plan and above. Mind the October bill, too: from 1 October 2026 each number gets 1,000 free service replies a month, and every reply after that to a Kuwait number costs $0.044, so one form that collects everything is cheaper than ten separate questions.

Frequently asked questions

Is Protect4less an Aahfil client?
No. Protect4less is a Gallabox customer, and this is a summary of the story Gallabox published, with the original linked. Aahfil is a Gallabox partner in Kuwait and wasn't part of this project.
Can a WhatsApp chatbot take claims or complaints after hours?
It can take the first step: answer common questions, collect the details through a form and log the case for the team. Decisions on a claim still need a person, and the bot should tell the customer when to expect a human reply.
Which Gallabox plan includes in-chat forms?
Basic forms are on every plan. Dynamic forms — multi-screen, with conditional logic and live data — are on Advanced. A claims form that only asks fixed questions usually fits the basic kind.
