When the free app is enough

If you're a personal trainer or a small studio where one person answers every chat, stay on the free WhatsApp Business app: put your packages and class timetable in the catalogue, set an away message with your hours, save quick replies for prices and location, and label chats trial, member and expiring. Move to the API when the front desk and coaches share the number, or when renewals need to go out without someone remembering.

Membership renewal reminders with a payment link

Plenty of memberships lapse without anyone deciding to leave: the package ends and nobody asks. Send a utility reminder seven days before the end date with the renewal price and a KNET link, and a second on the day it expires. Keep the wording factual, because a renewal reminder with a 'last chance' offer attached can be judged marketing. Take the end dates from Glofox, Mindbody or your own sheet, through an export or an API where your system offers one.

Taking membership and PT payments on WhatsApp

Meta's in-chat payments aren't available in Kuwait, so a gym takes payment on WhatsApp by sending a link from its gateway, whether MyFatoorah, Tap, UPayments or its bank, which members pay by KNET or card. It suits a new membership straight after the trial, a personal-training pack or a class bundle. If a link sits unpaid for a day, send one reminder, then hand the chat to the front desk rather than chasing again.

Winning back members who stopped coming

Former members already know your coaches and your floor. Message those who agreed to hear from you 30, 60 and 90 days after their membership ended, each time with one concrete reason: a new evening class, longer ladies' hours, a coach they liked back on the schedule. The weeks after Ramadan and after the summer travel season are when routines restart. Stop after the third message, and remove anyone who asks you to.

Front desk, coaches and branches on one number

Personal trainers often message clients from their own phones, so when a coach leaves, the relationship leaves too. In a shared inbox the membership desk owns new enquiries and renewals, each trainer sees only their own clients' chats, and a manager picks up complaints and refund requests. If you run branches in Salmiya and Jabriya, chats route to the branch the member trains at, and notes on goals and schedule stay on the chat for the next coach.

If you have several branches, decide first whether they share one number or each gets its own. Bring your price list, class timetable, freeze and refund rules, and the questions members ask most. Verification is the slow step, so start it well before the new-year and post-Ramadan rush rather than in the middle of it.

How to tell whether the API is paying for itself

Measure four things for a month before and a month after: how long an ad enquiry waits for its first reply, how many enquiries book a trial and how many trials join, how many booked trials and classes end as no-shows, and how many members renew on time. Compare the same season, January against January and summer against summer, because gym demand swings with the calendar and will hide the effect of the tool.

The mistakes that cost gyms members

Leaving an ad enquiry unanswered overnight after paying for the click. Keeping one giant broadcast list built from years of walk-ins and messaging all of it: people block, and a number that is blocked and reported gets restricted. Dressing a promotion up as a renewal reminder, which Meta can reclassify as marketing. And letting each coach sell from a personal phone, so nobody can see which leads were followed up and which went cold.

What Meta's rules allow

Meta's Commerce Policy restricts some health and weight-loss products, so check it before you sell supplements, fat burners or slimming products in the chat or the WhatsApp catalogue. Keep members' health details, such as injuries, conditions and weight, out of broadcasts, and hand anything medical to a person rather than a bot.

Frequently asked questions

Can a gym send renewal reminders on WhatsApp without them counting as marketing?
Yes, if the message is only about the member's own membership: the end date, the renewal price and a payment link. Add a discount or a 'last chance' line and Meta can approve it as marketing instead, which costs more and needs the member's opt-in. Send offers as a separate marketing message, and only to members who agreed to receive them.
How should we follow up after a trial session?
The same day, from the coach who ran it: ask how it felt and offer the membership that fits the goal they mentioned, with a payment link if they're ready. If the chat has been quiet for more than 24 hours, that follow-up has to be an approved template rather than a free-form reply. If there's no answer, send one more a few days later, then stop.
Can we connect Glofox or Mindbody to the WhatsApp API?
Where your system offers an API or an export, member data such as end dates and class bookings can feed your renewal and class reminders. Check what your plan with them allows before you design the flows. Where there's no connection, the front desk can work from a weekly export of memberships ending that week, which is enough to start.
