How fast and how should a fashion brand in Kuwait reply to enquiries?

Answer within 30 minutes on a normal day and within 5 minutes on drop day. Have six saved replies ready in Arabic and English covering size, measurements, delivery, payment, exchange and colour. Give flat measurements in centimetres, never "it fits medium". Never reply "sold out" without offering an alternative and a restock date.

Thirty minutes normally, five minutes on drop day

Set two clocks. On a normal day, every DM and WhatsApp message gets a real answer within 30 minutes between 10am and 11pm, and anything that lands after midnight gets answered by 11am. On drop day the target is five minutes. That sounds aggressive until you watch the money: on Kuwait fashion accounts most of a drop moves in the first three hours, and a customer who waits twenty minutes to find out whether her size exists has already opened two other accounts. Speed here is not customer service. Speed is the sale.

Measure it honestly. Instagram shows you a response rate but not your median, and the free WhatsApp Business app shows you nothing useful at all. Take one week of chats and time-stamp the first human reply on fifty of them. Most brands we open discover a median between 40 and 90 minutes plus a tail of messages nobody ever answered, usually the ones that arrived Friday afternoon or after 1am. Fix the tail before you chase the median. Ten dropped messages a week at an average basket of 25 to 40 KD is 250 to 400 KD walking out the door.

Six saved replies, and real centimetres instead of "it fits medium"

Write six saved replies and stop improvising. The six that cover roughly 80 percent of fashion enquiries in Kuwait: is this available in my size, what are the exact measurements, how much is delivery and when does it arrive, do you take KNET or Tabby, can I exchange it, and do you have another colour. Save them in WhatsApp Business quick replies with shortcuts like /size and /delivery, and mirror the same six in Instagram saved replies. Keep each one under four lines. A long paragraph in a DM reads like a form. A short answer with a number in it reads like a shop that knows its own stock.

Never answer a size question with "it fits medium". Give the garment flat in centimetres — chest 52, length 68, sleeve 60 — and say which size the model is wearing and how tall she is. That one habit pulls exchange requests down noticeably, and exchanges are where fashion margin dies in Kuwait because you pay the driver twice. Photograph a tape measure on the piece once during the shoot and send the same image every time. If your sizing runs small, write it in the reply before she asks. Losing a 30 KD sale to honesty is cheaper than a return that costs you the sale plus 5 to 8 KD in delivery.

Half of these messages only exist because your stock is invisible. When size and colour availability live on a product page that updates itself, the enquiry turns into a link instead of a conversation. That is the strongest argument for moving your catalogue onto your own Shopify store with live stock and KNET checkout instead of running the whole brand out of an inbox. Keep replying to humans where it matters, but let the sold-out badge do the boring work at 2am when nobody on your team is awake and the customer is ready to pay.

A sold-out size should still end in a sale

A sold-out size does not end the conversation unless you end it. Never send "sorry, sold out" on its own. Send a three-part reply: it has gone in medium, here is the closest thing — the same cut in the other colourway, or the size up with its centimetres so she can judge for herself — and here is the restock answer, either a date or an honest no. "Restocking around the 12th, want me to hold one?" converts far better than a waitlist link. If you genuinely will not restock it, say that plainly and put the nearest piece in front of her.

Capture the name either way. Keep one list per style and size — a note on your phone is fine at low volume, a tag inside your inbox tool becomes necessary past a hundred messages a week — and message those people in the first hour stock lands, before the public post goes up. A restock message to twenty people who asked for that exact size converts around one in three or four for most brands here. That beats any ad you will run that week, and it costs nothing except the discipline to write the name down at the moment you apologise.

Staff the drop like a shift, not like a hope. For a drop you expect to do under 3,000 KD, two people on the inbox for the first three hours is enough; above that, three. Split them by channel rather than by turn — one on Instagram and Snapchat, one on WhatsApp — so nobody double-replies. Post at 8 or 9pm Kuwait time Sunday to Wednesday and keep the team awake until midnight; Friday afternoon is the worst slot in Kuwait because your buyers are out and your team wants to be out too.
