WhatsApp Business API/Clinics & medical centres

for clinics & medical centres

Fewer missed calls. Fuller calendars.

For a Kuwait clinic, the WhatsApp Business API turns the reception mobile into a shared inbox: patients book in the chat, reminders go out on their own, and every enquiry from your ads gets answered. We set it up on Gallabox for free, with templates written so no medical detail ever sits in a message.

the actual problem

Where the chats get lost today

Most Kuwait clinics run on one reception phone. Patients message on WhatsApp because it is faster than calling, so the same person is answering chats, the front desk and the landline at once. Chats sent after hours wait until morning, patients who wanted a slot today book somewhere else, and no-shows leave gaps that nobody had time to refill.

What WhatsApp does for you

  1. 1

    Booking inside the chat

The patient picks the doctor or service, a day and a time from buttons, gives a name, and gets a confirmation — without leaving WhatsApp. Anything off-script goes straight to reception.

Your appointment is confirmed: {{1}} with {{2}} on {{3}} at {{4}}. Reply 1 to confirm or 2 to change the time.

  2. 2

    Two reminders, not one

One reminder the day before with confirm and reschedule buttons, and one a few hours before with the location pin. A reschedule is a slot you can refill; a silent no-show isn't.

Reminder: your appointment at {{1}} is tomorrow at {{2}}. Can you make it?

    Enquiries from your ads

Ads that open WhatsApp bring a lot of 'how much?'. Two automatic questions — which treatment, and when — sort the ready-to-book from the browsing, and the booking conversion goes back to the ad so Meta learns which patients to find.

Thanks for reaching out to [clinic name]. Which treatment are you asking about, and when would you like to come in?

  4. 4

The questions reception answers all day

Opening hours, location, parking, insurance accepted, which doctor is in today. A bot answers these in Arabic or English at any hour and hands anything clinical to a person.

We're open [opening hours]. For anything about your treatment, a member of our team will reply shortly.

When the free app is enough

If one receptionist handles every chat comfortably and patients rarely message after hours, stay on the free WhatsApp Business app: set a greeting, an away message with your booking hours, quick replies for prices and location, and labels for booked, waiting and follow-up. Move to the API when two people need the same number, or when reminders should send themselves.

Deposits and payment links

Meta's in-chat payments aren't available in Kuwait, so payment on WhatsApp means a link from your gateway — MyFatoorah, Tap, UPayments or your bank. For treatments with a long slot or a high no-show rate, a deposit link in the booking confirmation turns a booking into a commitment. Try it on one appointment type first and compare.

One number for reception, nurses and doctors

In a shared inbox every chat has one owner. Reception takes bookings, a nurse takes the post-visit questions, and the doctor sees only what is routed to them — nobody answers twice, and nobody gives out a personal number to be reachable.

What we need to get your clinic live

Your commercial licence for Meta's business verification, the number you want to use, the clinic name exactly as it should appear, and a list of the questions patients ask most. Verification is the step that waits longest; the rest we do in parallel.

Recalls and follow-ups

Cleanings every six months, a follow-up after a procedure, a course of physiotherapy sessions that stopped halfway. A short message at the right interval brings back patients who already trust you. Keep it about the appointment, never the diagnosis.

Asking for Google reviews

Send one message a few hours after the visit with your Google review link, and send it once — a second nudge reads as pressure. If the reply is unhappy, route it to the clinic manager before it becomes a public review, and keep the wording about the visit, never the treatment.

The numbers that tell you it's working

Ignore open rates. Count four things for a month before and after: how fast the first reply goes out, how many chats end in a booking, the no-show rate, and how many patients come back. Those four decide whether the API is paying for itself.

The mistakes that cost clinics patients

A reply that takes hours, offers sent to patients who never asked for them, a reminder written like a promotion, and a doctor's personal number doing the clinic's job. The first loses bookings; the second gets numbers blocked; the third costs more and can be reclassified as marketing.

What Meta's rules allow

Meta's Business Messaging Policy prohibits selling medical and healthcare products on WhatsApp and restricts sending health information where local rules require more protection than WhatsApp offers. Bookings, reminders, directions and opening hours are fine. Test results, diagnoses and prescriptions stay out of the chat — send the patient to a secure portal or ask them to come in.

From $112 a month. Setup is free.

Gallabox Basic billed yearly, at its published price, plus a charge for each template message delivered. Full plans and message rates are on the pricing page.

Frequently asked questions

Can a clinic send test results on WhatsApp?
Don't. Meta's policy restricts health information on WhatsApp where local rules demand stronger protection, and a result in a chat can be forwarded or seen by anyone holding the phone. Send a message saying the result is ready and how to collect it securely.
Our doctors give patients their personal WhatsApp. Can the API fix that?
It gives patients a clinic number that answers as fast as the doctor did. Reception handles bookings, clinical questions are routed to the right doctor inside the inbox, and the doctor's personal number can go back to being personal.
Can an AI agent answer our patients?
For hours, prices, location, insurance and booking, yes — Meta allows AI that serves your own customers. It should never give medical advice, and it should hand over to a person the moment a patient describes symptoms.
What does it cost a clinic?
A Gallabox plan — most clinics start on Basic or Essential — plus a charge for each template message delivered, such as reminders. Setup through us is free. The pricing page has the current rates for Kuwait.
