When the free app is enough

A small garage or used-car dealer with one person on the phone can stay on the free WhatsApp Business app: a catalogue of cars in stock or service packages, an away message with workshop hours, quick replies for location, prices and documents needed, and labels for new lead, test drive, in the workshop and ready. Move to the API when several salespeople or service advisors need one number, or when service reminders and car-ready updates should send themselves.

Sales, service and rentals on one number

Salespeople who sell from their own WhatsApp take their buyers with them when they leave. In a shared inbox, car enquiries go to the salesperson on shift, service questions go to the advisor holding the job, and rental chats go to the rental desk. Every chat has one owner and its notes, a manager sees who is still waiting, and the showroom keeps its customers.

Reservation deposits, invoices and payment links

Meta's in-chat payments aren't available in Kuwait, so payment on WhatsApp means a KNET or card link from your gateway — MyFatoorah, Tap, UPayments or your bank. A deposit link holds a car for a buyer who can't come in today. A link with the final invoice lets a service customer pay before arriving, so collection is a handover, not a queue at the cashier. For rentals, send the deposit link before the car leaves. Record who paid, and send one reminder if a link goes unpaid.

Customers who stopped servicing with you

A customer who serviced with you twice and then vanished is usually at another garage, not without a car. If they opted in, message them 30, 60 and 90 days past their usual service date, each time with one reason to come back: an AC check before summer, a tyre check before a road trip, or collection from home if you offer it. For dealers, a buyer nearing the end of their instalments is worth a note about trade-in options. Stop after three unanswered messages.

WhatsApp mistakes that lose car sales and service customers

Answering "last price?" hours later, or with "call me". Salespeople quoting different prices for the same car from personal phones. Sending a new-arrivals list to every contact, which gets the number blocked, reported and restricted. A service reminder that is really a discount offer, which Meta approves as marketing. And asking rental customers to type their civil ID or card number into the chat, which Meta's policy doesn't allow — use a secure upload link instead.

Frequently asked questions

Can rental customers send their civil ID and driving licence on WhatsApp?
Don't ask them to type the numbers into the chat — Meta's policy prohibits requesting them. Send a secure upload link for the civil ID and driving licence, and take the deposit through your payment gateway's link. The chat then carries only the booking details: the car, the dates, the branch and the return time.
Our salespeople use their own WhatsApp. What changes with the API?
Buyers message the showroom number instead, and each chat is assigned to a salesperson, who answers from the shared inbox on their phone or laptop. The manager sees response times and who is waiting, prices stay consistent, and when a salesperson leaves, their buyers and the history stay with the showroom.
Can we send car-ready updates and service reminders automatically?
Yes, as utility templates, as long as the trigger comes from somewhere the system can read: your workshop system where it offers an API or an export, a Google Sheet through Gallabox's flow builder, or the advisor pressing a button. Keep the wording transactional. A reminder with a discount in it gets approved as marketing and costs more.
