Where the chats get lost today

Kuwait schools and institutes talk to parents in three places at once: class WhatsApp groups run from teachers' personal phones, SMS from the school system, and an admissions number one person answers. In admissions season and before exams, questions about fees, seats and buses pile up, parents who wanted a placement test go elsewhere, and fee reminders go out by hand, late or to the wrong parent. When the free app is enough

A tutoring centre or nursery where one admin handles enquiries comfortably can stay on the free WhatsApp Business app: set an away message with office hours, quick replies for fees, timings and location, a catalogue of courses, and labels for enquiry, trial booked, enrolled and fees due. Move to the API when admissions and accounts need the same number, when reminders should reach a whole year group on schedule, or when parents message faster than one person can answer.

Admissions, accounts and teachers on one number

Parents shouldn't need a teacher's personal number to reach the school. In a shared inbox, admissions owns enquiries, accounts owns fees, and questions about a specific class are routed to that class teacher, who replies from the school number. Every chat has one owner and its notes, so a parent never explains twice, and a teacher who leaves takes no parent conversations with them.

Fee payments and seat deposits by link

Meta's in-chat payments aren't available in Kuwait, so paying fees on WhatsApp means a KNET or card link from your gateway — MyFatoorah, Tap, UPayments or your bank. Send it privately to the parent with the term, the amount and the due date, never in a class group. At registration, a seat deposit link in the acceptance message turns a yes into a reserved place. Mark who paid in your school system or a sheet, so nobody gets chased for a fee they already settled.

Instalments and course renewals that don't lapse quietly

Term instalments, monthly tutoring packages and course renewals slip when nobody chases them. Send one utility reminder seven days before the due date with the amount and the payment link, and one on the day. After that, a person follows up, because a parent who hasn't paid may have a reason worth hearing. Pull due dates from your school system where it offers an API or an export, or from a Google Sheet, and stop the reminders the moment payment lands.

The numbers that show it's working

Count four things for a month before and after: how fast admissions enquiries get a first reply, how many enquiries become a tour, trial class or placement test, how many fees are still unpaid after the due date, and how many students re-enrol or renew. Ignore how many messages went out. A big broadcast list that nobody answers is a cost, not a result.

The mistakes schools make on WhatsApp

Class groups where every parent sees every other parent's number. Grades, absences or behaviour notes sent anywhere but privately to the guardian. Messages sent to the student instead of the parent. Open-day invitations written as utility updates, which Meta approves as marketing anyway. And fee reminders sent to everyone, including parents who already paid — a quick way to get the number blocked and reported.

What Meta's rules allow

Messages about a child go to the parent or guardian, never to the child. Keep grades, attendance, health and behaviour details out of broadcasts and groups: send them privately to that student's guardian, or say the report is ready and point to your school portal. Promotional messages go only to parents who agreed to receive them. If your school has its own rules on contacting parents, those come first.

Frequently asked questions

Can a school replace its class WhatsApp groups with the API?
For announcements, largely yes. One message from the school number reaches each parent privately, so parents stop seeing each other's numbers and replies come back to the school instead of the whole group. Send only to parents who agreed to receive messages, usually at registration, and keep a group only where parents genuinely need to talk to each other.
Can we send grades or report cards on WhatsApp?
Not in a broadcast, and not to the student. A private message to the guardian saying the report is ready, with a link to your school portal, keeps the details behind a login. Anything that names a child's marks, health or behaviour should go only to that child's guardian, or stay in the portal.
Can a bot answer parents in Arabic and English?
Yes, for fees, timings, bus routes, uniform, the school calendar and admissions steps — Meta allows AI that serves your own customers. It should hand over to a person for anything about a specific child, complaints or fee disputes, and it should never guess an answer it doesn't have.
